Who is responsible for your information?

Maths and Physics Clarity is operated by Avyukt Batra as a sole trader. Avyukt Batra is the data controller for the personal information described in this notice.

Information collected

When you submit an enquiry or contact Avyukt directly, the following information may be collected:

• the student’s name;
• the contact email address;
• the student’s level and requested subject;
• the content of the enquiry and later correspondence; and
• lesson, scheduling and payment records if tuition is arranged.

Cloudflare may also process limited technical information, such as an IP address, browser information and security logs, when it delivers and protects the website.

Why the information is used

Personal information is used to:

• respond to enquiries and discuss whether tuition is suitable;
• arrange, deliver and administer lessons;
• communicate about availability, progress, scheduling and payment;
• keep records required for accounting or legal purposes; and
• maintain the security and reliability of the website.

The main lawful basis is contract: the information is needed to take steps you request before arranging tuition, or to provide tuition once agreed. Legal obligation may apply to records that must be kept by law. Legitimate interests is used for proportionate website security and business administration.

Your information is not used for unrelated marketing, sold to anyone, or used for automated decision-making or profiling.

Students under 18

GCSE and A-level students may be under 18. A parent or guardian should preferably make the initial enquiry and provide their own contact email address. Please do not include medical information or other sensitive personal information in the enquiry form. If information about a child is provided, it will be used only as necessary to discuss and provide tuition.

Who receives the information?

Information is shared only where necessary with service providers that support the website and enquiry process:

• FormSubmit, which transmits website enquiries by email;
• Google’s Gmail service, which receives and stores correspondence; and
• Cloudflare, which hosts, delivers and protects the website.

Information may also be disclosed if required by law or where necessary to establish or defend legal rights. Some providers may process information outside the UK and are responsible for applying the safeguards required for their services.

How long is information kept?

• Enquiries that do not lead to tuition are normally deleted within 12 months of the last contact.
• Records connected with tuition are kept for as long as needed to provide the service and meet accounting or legal obligations.
• FormSubmit states that form submissions may be retained for up to 30 days.

Information may be deleted sooner following a valid request unless there is a lawful reason to retain it.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, portability, or to object to its use. These rights are not absolute and can depend on the lawful basis and the reason the information is held.

Cookies and external services

Maths and Physics Clarity does not currently use advertising or analytics cookies. The website uses Cloudflare for hosting and security, Google Fonts for typography, and FormSubmit when an enquiry is sent. These external services may receive limited technical information needed to provide their services.

Changes to this notice

This notice may be updated if the website, enquiry process or legal requirements change. The effective date at the top will be updated when material changes are made.
